Bay County Clerk Office and Death Certificates

Under MCL 333.2885, Michigan death records are public. Anyone can request a copy without showing a family connection. The first copy costs $15 and includes a 3-year search, meaning the office will search three years of records around your stated date of death. Each additional copy is $3. Extra years searched beyond the initial three cost $1 per year. This fee structure is somewhat different from other Michigan counties and reflects Bay County's own local fee schedule.

Bay County has three ways to request a death certificate: in person at the Bay County Building, by mail, or online. Bay County also offers its own online services portal in addition to VitalChek, giving you two online ordering options.

In-person visits to Suite 101 at the Bay County Building are the most direct. Bring photo ID and the details about the death: the person's name, the approximate year, and any other information that helps locate the record. The fee is $15 for the first copy, which covers a search of three years. Additional copies are $3 each. If the death year is uncertain and more years need to be searched, the fee is $1 per extra year searched. Staff can process requests during office hours.

Mail requests go to Bay County Building, 515 Center Avenue, Suite 101, Bay City, MI 48708. Send a completed application form, a copy of your photo ID, and a check or money order payable to Bay County Clerk. Email the clerk at clerk@baycountymi.gov if you have questions before submitting. For mail requests, processing time depends on office volume, plus transit time in both directions.

Bay County Death Index Record Contents

A standard Bay County death certificate from 1898 onward follows Michigan's modern format. It shows the deceased's full name, date and place of death, cause of death certified by a physician or medical examiner, age, sex, race, marital status, occupation, birthplace, and the names and birthplaces of both parents. The funeral director's name, address, and signature appear on the certificate along with the burial location. All copies issued by the Bay County Clerk carry a raised seal certifying them as official.

For deaths from 1868 to 1897, the records are in the older ledger format and are accessible through the GENDIS database. GENDIS is a free state database that holds over 460,000 Michigan death records from the 1867 to 1897 window. Bay County's portion starts from 1868. GENDIS shows the decedent's name, father's last name, and year of death. It does not include cause of death for most records after 1885, but it is useful for confirming a death occurred and for genealogy purposes.

Access Laws for Bay County Death Index

Bay County death records are public under Michigan law. The governing statute is MCL 333.2885, which makes death records open to any person. There is no family relationship requirement and no waiting period. You do not need to give a reason for the request. This applies to all death records held by the Bay County Clerk, from the oldest 1868 records through the most recent filings.

The filing process that creates these records is set by MCL 333.2843. The funeral director must file a death certificate with the Bay County Clerk within 72 hours of taking custody of the body. They collect personal data from the next of kin and get the cause of death from the attending physician or medical examiner. Michigan's Electronic Death Registration System (EDRS) is used in Bay County for modern filings, making the process faster and more accurate than the old paper system.
